Privacy policy
Last updated November 5, 2026
Welcome to Dispatch Crew (“we,” “us” or “our”), operated by CW Collective, LLC. We respect your privacy. This policy explains how we collect, use, share and protect information when you visit dispatchcrew.app and use the Dispatch Crew web app and services (together, the “Services”), including the version your company signs in to at an address ending in dispatchcrew.app.
Please read it carefully. If you do not agree with it, please do not use the Services.
1. Whose information it is
Dispatch Crew is business software. Your employer or the company that gave you an account (“your company”) decides what goes into it: its jobs, schedules, crews and notes. We store and process that information on your company’s behalf to run the service. Your company is responsible for what it puts in and for who it gives accounts to. If you are a crew member with a question about your own information, ask your company first; we will help them answer.
2. Information we collect
Information you or your company provide
| Kind | What it is |
|---|---|
| Account | Name, work email, phone number, role, language and text size, an optional profile photo, and your password (stored only as a one-way hash). If you use Face ID or a fingerprint to sign in, your phone keeps the biometric; we only keep a public key that cannot be used to recreate it. |
| Work data | Jobs, addresses, schedules, work orders, crews and who is on them, quantities completed, notes, end of day reports, problem reports, requests for extra work, customer signatures when a job calls for one, and the plans and documents your company attaches. |
| Photos | Photos crew members add to a job or report. A photo taken in the app can carry the place and time it was taken. |
| Job contacts | Names, phone numbers and email addresses of your company’s customers and site contacts, as your company enters or imports them. |
| Messages | Anything you send us, such as a support request, feedback or a bug report. |
Information collected automatically
- Device and error records: your IP address, browser and device type, and which screen failed when something goes wrong, so we can fix problems.
- Cookies: only the ones the app needs, your sign-in session and your language choice. We do not use advertising or cross-site tracking cookies. You can control cookies in your browser settings, but the app will not work without the sign-in cookie.
- Location: we do not track your location in the background. The app asks your phone for it only when a feature needs it, such as stamping a photo you take, and your phone asks your permission first. You can refuse and the app keeps working. Job site addresses are used to show maps, estimate drive distances and look up weather.
Information from tools your company connects
If your company connects other tools, such as monday.com (job boards) or Connecteam (shift schedules), we read what your company allows from them, and write back only what your company turns on.
This website itself collects nothing unless you email us, and does not use advertising trackers or analytics cookies. We do not take payments through the app and do not offer sign-in through Google, Apple or similar services.
3. How we use information
- Provide and maintain the Services: schedules, work orders, notifications, reports, search, and sync with the tools your company connects.
- Improve the Services: fixing bugs, speeding things up and developing features, using the error records above.
- Communicate: sign-in and account messages, in-app notifications, and work orders emailed from your company’s own mailbox.
- Support: answering questions and troubleshooting.
- Security and fraud prevention: sign-in checks, access rules that limit each person to the work they should see, and detecting abuse or unauthorized access.
- AI features, only if your company turns them on: translating and tidying notes, and reading documents such as contracts.
- Legal compliance: meeting legal obligations and responding to lawful requests.
We do not show advertising and we do not build advertising profiles from your company’s data.
4. Legal basis for processing (EEA and UK)
Our Services are built for businesses in the United States. If you are in the European Economic Area or the United Kingdom, we process personal data to perform our contract with your company, for our legitimate interests in running and securing the Services (where these do not override your rights), with your consent where we ask for it, and where the law requires.
5. How we share information
We do not sell, rent or trade personal information. We share it only as follows.
Service providers who handle information only to do a job for us:
- Supabase: database, sign-in and file storage.
- Vercel: hosting of the app and this website.
- Email provider: sends work orders and notices from your company’s own mailbox.
- Mapbox, OpenStreetMap and the US Census geocoder: receive a job address to place it on a map or work out a route. National Weather Service: receives a location to return a forecast.
- Anthropic: if your company enables AI features, the text of a note or the pages of a document are sent to Anthropic’s API to be translated, tidied or read. Under Anthropic’s commercial terms, content sent through its API is not used to train its models. The original text is always kept alongside any rewrite.
- monday.com and Connecteam: your company’s own accounts, if connected.
Business transfers: in a merger, sale of assets, financing or acquisition of all or part of our business. We would tell your company first.
Legal and safety: when required by law, subpoena or government order, or to protect the safety, rights or property of our users or the public.
With your consent, when you explicitly authorize it.
6. Retention and deletion
We keep your company’s data while its account is active and as long as needed for the purposes in this policy or as the law requires.
- When a person is removed from an account, their profile is switched off but their past work stays in the company’s history so records stay accurate.
- A job placed in the trash is permanently deleted after 14 days.
- You or your company may ask us to delete an account and its data at any time by writing to the address in section 11. After we verify the request, we delete it from our active systems within 30 days, keeping only what tax or other law requires. Backups age out on their normal cycle.
7. Your rights and choices
Depending on where you live (including under GDPR, the California CCPA/CPRA and other state privacy laws), you may have the right to:
- access a copy of the personal data we hold about you and take it with you;
- correct inaccurate or incomplete data;
- delete your data;
- object to or restrict certain processing; and
- not be treated differently for using these rights.
We do not sell or share personal information for advertising, so there is nothing to opt out of. You can also change your own name, phone, email, password, photo, language and text size under My account, refuse location access in your phone’s settings, and keep using a password instead of Face ID or a fingerprint. Because your company controls its data, we may refer a request to them. To use any right, write to the address in section 11.
8. Children
Dispatch Crew is for working adults. It is not directed to anyone under 18, and we do not knowingly collect information from children under 13 (or under 16 where the law sets that age). If we learn we have, we will delete it promptly.
9. Security
Everything travels over encrypted connections and is encrypted at rest by our database provider. Passwords are never stored in readable form. Access rules in the database limit each person to their own company and role, administrators can require a second sign-in step, and secrets such as integration keys are kept out of the app’s code and out of the browser. No method of transmission or storage is 100% secure. If we learn that your company’s information was exposed, we will tell the company promptly.
10. International transfers and changes
Our Services and providers are based in the United States, and your information is stored and processed there. Where the law requires safeguards for transfers from the EEA or UK, we use appropriate ones, such as standard contractual clauses.
We may update this policy. We will change the date at the top and, for meaningful changes, tell your company’s administrators or show a notice in the app.
